Booking Terms and Conditions

The following Booking Terms and Conditions, together with information published on our website, tour details, itinerary and any other written information provided to you apply to all bookings you made with us and set out our respective rights and obligations, (these “Conditions”). Please read them carefully. 

In these Conditions, “we”, “our”, “GBRf” and “GBRf Charity Railtours” means GB Railfreight Limited, company registered in England and Wales with company number 03707899 and registered office at Old Broad Street, London, EC2M 1 RX. “You” means the person making the booking to travel on the GBRF 2021 tour and includes any person travelling with or in the care of you or for whom you make any booking arrangements with GBRf. 

By making the booking, the person making the booking agrees on behalf of all persons detailed on the booking that:
• they have read and agreed to these Conditions;
• they consent to GBRf using any personal data provided in accordance with our Privacy Notice;
• they are over 18 years of age.


Bookings and Payments 

Bookings can only be made via our website (www.gbrfcharityrailtours.co.uk) using a valid credit or debit card. An e-mail address will need to be supplied at the time of booking to allow for booking references, confirmations and updates to be sent.
We are sorry, but we cannot accept cash or bookings via post or telephone. Any money paid in respect of a booking will be processed and held on our behalf by our third party provider Stripe, Inc. 
We will NOT be offering any ‘Pay on the Day’ or Part fares.
The person making the booking accepts responsibility for distributing all tickets and documentation relating to the booking to all persons named on the booking. All disability or mobility restrictions relating to any person named on the booking must be declared using the email addressed provided below. 


Data Privacy

Personal data (such as name, e-mail addresses or contact numbers) will only be retained for the purposes of your booking and will be deleted after the operation of the tour. Such details will NOT be passed on to third parties or used for any marketing, save for updating you on any tour developments or issuing tickets.
Credit Card details will not be retained. For full details please see our privacy policy (on our websites or upon request).
Card Payments will be handled via our third party provider Stripe, Inc. Their privacy policy can be found here - https://stripe.com/en-gb/privacy


Tickets

An automated confirmation email will be sent immediately on booking.
Tickets will be issued in the form of an email with the final timings, allocated seating and boarding details provided approximately ten days before the day of the tour.
Upon receipt, if you believe that any details are wrong, you must advise us immediately.
Accuracy 
We endeavour to ensure that all the information and prices on our website and in any correspondence is accurate. However, occasionally changes and errors occur and we reserve the right to correct prices and other details in such circumstances.


Ticket Refunds

Refunds of bookings can be made up to fourteen (14) days before the day of the tour via email to GBRf2021Tour@gbrailfreight.com , subject to an administration fee of £10 per ticket.
Refunds requested less than fourteen (14) days of the date of the tour will only be made at the discretion of the organisers and will generally be based on the ability to re-sell the ticket to another person. 


Timings

Timings as advertised on the website are intended as a guide and are subject to Network Rail’s planning processes and may vary from those shown.
Confirmed timings will be sent out to the nominated booking e-mail address around fourteen (14) days before the day of the tour.


Catering

‘Full Works’ tickets will include the meals as indicated on the website at the noted times. These tickets do NOT include Alcohol or Soft Drinks (other than Tea and Coffee supplied with meals) and will need to be ordered and paid for separately with the catering staff on each day of the tour.
Any dietary requirements should be advised via e-mail to GBRf2021Tour@gbrailfreight.com at least seven (7) days before the day of the tour. Please ensure to include your reference number. We are unable to provide meals that require particular religious observance.
Please note that meals are prepared on board the train and catering for severe allergies (e.g. nuts) cannot be guaranteed. If you have an allergy, please advise us via the email address above.
Tickets other than ‘Full Works’ exclude any catering provision, but a buffet counter service will be available for the purchase of snacks, food and drink. More details will be provided on the website nearer the time.


Seating and allocations

Our train will be formed of ‘heritage’ Mk1 vehicles.
Any seating requests (e.g. if you want to sit with another passenger) will be accommodated where possible and should be sent via email to GBRf2021Tour@gbrailfreight.com including all booking references concerned. Due to the tour running over several days and expected high demand, we may not be able to accommodate all requests. Please consider booking with your friends as one party, as these will be seated together in the first instance. 
Due to catering logistics, we will be unable to seat ‘Full works’ and non-dining passengers together.
Seating allocations will be issued with final timings via e-mail approximately fourteen (14) days before the day of the tour.


Accessibility

Please note that we are not a specialist disability tours company, but we do our best to cater for any special requirements. As noted above, our tour is formed of ‘heritage’ vehicles, which cannot accept unfoldable wheelchairs. The tour will call at certain stations that will have platforms shorter than the train-length and may require passengers to walk through coaches to alight. Some platforms may only be accessible via stairs or long walks.
Our tour also has some days of long duration, so please take this and the information above into account when deciding whether to book with us and if the train is suitable for you.

Smoking

Smoking will not be permitted anywhere on the train (including toilets), nor is it allowed on any Network Rail Station. Our tours are of long duration, so you should consider this when making a booking.


Overnight accommodation

Other than the planned ‘Day N’ overnight leg of the tour, passengers will NOT be allowed to remain on the train overnight between each individual tour day and will need to make their own accommodation arrangements. Passengers will NOT be allowed to remain on stations overnight either.


On Train behaviour

Any passengers who in our reasonable opinion become excessively inebriated, noisy, abusive or badly behaved in general to the detriment of other tour passengers or other rail users will be removed from the tour at the first suitable location, with no recourse to refund or reimbursement of cost of travelling home.
As with all other tour operators, leaning out of open windows or placing body parts or photographic/recording equipment outside of the train is NOT allowed and will be strictly monitored by Stewards. Offenders will be removed from the tour at the first suitable location, with no recourse to refund or reimbursement of cost of travelling home.
Please remember that our tours are operated by volunteers raising money for charity and we expect them to be treated with respect and without fear of abuse. Future tours will be in jeopardy, if such behaviour is noted.
We cannot be held responsible for the actions or behaviour of other guests or individuals who have no connection with us. 


General

If you need to contact us about your booking, then please do so via e-mail to GBRf2021Tour@gbrailfreight.com Please be aware that the organisation of the tour is being undertaken by volunteers in their spare time and around the ‘day-job’ but we do will endeavour to respond to queries within five (5) working days.
We will do our best to operate the tour with the advertised traction and stated times. Locomotives are subject to on the day availability and may be subject to short notice change where operating requirements dictate. Punctuality is not guaranteed and no connections with other services are implied.
GBRf will incur no liability for delays, alterations or any other events that are outside of GBRf’s control. In the event that the tour is cancelled (or part cancelled), we will issue refunds to the value (or part value) of the tickets purchased, but no other liabilities will be incurred. 
GBRf disclaim and exclude, to the maximum extent permitted by law, all liability whether based in contract, tort (including negligence), strict liability or otherwise, and further exclude all losses, including without limitation indirect, incidental, consequential, or special damages arising out of or in any way connected with these Conditions and the tour.
These Conditions are governed by English law. 


Complaints 

We trust that you will thoroughly enjoy your tour. Should a concern arise during the tour please bring it to the immediate attention of your Steward who will endeavour to resolve it on your behalf. 


COVID-19 / Coronavirus

The train will be formed of MK1 open carriages with opening windows which will ensure a constant supply of fresh air. We will ensure with our suppliers (Riviera Trains) that an adequate cleaning regime will be in place, based on the latest good practice.
Passengers are reminded that government guidance that is in place during the time of the tour will need to be adhered to. This may mean wearing facemasks or restrictions on movements around the train.
We will be selling tickets on the basis we will be able to run to full capacity in September. In the event we are unable to do so, we will postpone the tour – until Spring 2022. In that instance, Passengers will be offered the option to either defer their tickets until the new date or will be able to obtain a full refund.
